Benefit/Purpose
Briefly describe what you hope to achieve by executing the project, including anticipated benefits.
The purpose of this project is to implement the Parchment Ellucian Banner API integration (i.e., transcripts) within the Banner SaaS environment, replacing the current on-premise RoboRegistrar utility. This transition is scheduled to coincide with the Banner SaaS go-live on June 29, 2026. Because transcript processing is a critical function, early implementation of the integration is essential to allow sufficient time to identify and address any potential issues with transcript workflows and data exchange.

The project will begin with a configuration phase in October–November 2025, including the installation and testing of the Banner API connector in the SaaS test environment. This will be followed by training and user acceptance testing (UAT) in January 2026. Final deployment will align with the college’s overall SaaS migration timeline.
Deliverables Requested
List or summarize all specific deliverables resulting from this project. What will the project produce or deliver? These should include items that are specific, measurable, achievable, realistic, and time bound.
(1) The Ellucian Banner API connector is installed and configured in the Banner SaaS test environment, with stable connectivity to the Parchment test environment.

(2) End-to-end transcript processing is tested successfully, including automated data exchange, credential output, and confirmation of delivery from Banner SaaS to Parchment.

(3) Any limitations or gaps between the current RoboRegistrar functionality and the new Parchment Banner API integration are clearly documented, with business process adjustments or workarounds identified and approved.

(4) Output formatting and delivery for all transcript types are reviewed and formally approved by functional leads.

(5) A Parchment-led UAT workshop is completed, followed by formal user acceptance testing by functional staff. UAT approval is obtained, confirming that the new integration meets functional and technical requirements.

(6) The solution is placed in a “ready for production” state, with final deployment tasks scheduled to align with the July 1, 2026 Banner SaaS go-live.

(7) Key stakeholders—including both IT and Admissions, and any other impacted functional areas—formally sign off on the integration, confirming that all success criteria have been met.

Strategic Purpose & Objectives

Objectives
(1) Design and configure the new integration to operate effectively within the Banner SaaS environment, in alignment with Ellucian’s supported Banner API framework, to ensure SaaS Compatibility for transcripts.

(2) Clearly identify and document any functional gaps, limitations or differences between the current RoboRegistrar functionality and the new Banner API Parchment solution, to inform business process adjustments or potential workaround.

(3) Complete early implementation to allow sufficient time for end-to-end testing, issue identification, and resolution related to transcript workflows and data exchanges.

(4) Provide training and coordinate a Parchment-led UAT workshop to prepare Admissions staff for the transition to the new system.

(5) Complete user acceptance testing and secure formal approval to proceed with the final production deployment.

(6) Schedule the deployment of the Parchment API integration to coincide with Solano Community College’s Banner SaaS go-live on June 29, 2026.
